Office Manager
JOB PURPOSE SUMMARY
Responsible for administering leadership and direction of office staff for daily activities and operation including customer service, will-call and shipping schedules. Schedules and coordinates all projects and special assignments from management.

ESSENTIAL JOB DUTIES
Supervises, coordinates, and provides leadership to and reviews the work of assigned staff; conducts performance evaluations and salary reviews for assigned staff; screens and recommends applications for employment; employees for termination.
Reviews previous days work for accuracy and analyzes accounts receivable.
Audits shipping and will-call invoices on a daily basis.
Plans day-to-day departmental operations; develops and implements work methods including the management of customer service functions within the department.
Applies company policies and assures adherence to departmental procedures.
Provides individual and/or group training on telephone technique/etiquette and computer procedures.
Processes special customer orders and distributes all orders received.
Processes local bills for manager review.
NON-ESSENTIAL JOB DUTIES
Perform similar and incidental duties as required.
JOB QUALIFICATIONS
Education: High School diploma or equivalent with some college education preferred.
Experience: Minimum of two (2) years experience or training.
Knowledge: Requires thorough knowledge in auditing and business development, accounting administrative services, customer service, public relations, PC data processing, training/ development, personnel policies, telephone etiquette skills, ability to get along with others, accept constructive criticism and be a team player.
Language Skills: Ability to communicate clearly and concisely in both oral and written communication, bilingual in Spanish is preferred.
Math Skills: Overall general arithmetic skills and knowledge of mathematical principles.
Other Skills: Time management skills to effectively schedule and meet company demands.
Reasoning Abilities: Ability to apply common sense understanding to carry out instructions furnished in written, oral, or diagram form.
Other Abilities: Ability to handle multiple priorities.
Supervisory Responsibility: This job supervises a minimum of two (2) or more exempt or non-exempt employees.
Decision Impact: If work errors occur a large portion of the time, the result would cause moderate delays or costs, but overall objectives would be met. Some situations may result in significant delays/costs to major programs or functional objectives impairing the performance of the company
Planning Requirements: Plans staffing requirements and schedules work for entire department or unit. Provides input to the budgeted and staff requirements.
REPORTING RELATIONSHIPS
Reports to the Branch Manager.
MAJOR BUSINESS/PROFESSIONAL CONTACTS
Frequent contact with management, employees, customers, shippers, and vendors.
WORKING AND ENVIRONMENTAL CONDITIONS
Normal working environment involving minimum discomforts or hazardous conditions. The noise level in the work environment is usually moderate.
PHYSICAL DEMANDS
While performing the duties of this job, the employee is regularly required to sit and talk or hear. The employee is occasionally required to stand or walk.
