Import Clerk
Job Purpose Summary
Responsible for preparing all necessary documents for shipment in compliance with custom laws, updating price book and import database, handling the chain of merchandise purchase and delivery system from advertisements and assembly instructions, reviewing purchase orders and merchandise for correct order, proper delivery, damaged goods negotiation and inventory transfers.
Essential Job Duties
Prepares documents and invoices to ensure customer law clearances.
Issues, maintains, distributes, and monitors Letters of Credit to manufacturers.
Updates the daily shipment schedule for the import department.
Assists customers through telephone and written correspondence regarding sale, purchase, and import of merchandise; handles questions and concerns of customers throughout the purchase process as well as contacts customer brokers to clarify shipping related questions.
Writes ocean freight charge requests for accounting department and attaches all supporting shipping documents, advises Telegram Transfers to Import Manager, and attaches all supporting shipping documents.
Prepares branch shortage and monthly adjustment report and reviews with Import Manager.
Maintains purchase order files, tracks and monitors database of receiving information, and verifies that all information is received at branch locations.
Schedules arrangements for shipping dates for exporting once customer has obtained Letter of Credit from the bank.
Reviews and follows-up on purchase orders and verifies shipping is on schedule.
Prepares and files inventory adjustments and generates resulting reports.
Updates warehouse merchandise receipts and generates summary report based on adjustments and receipts.
Fluency in English and Chinese (Mandarin), Basic Math.
Non-Essential Job Duties
Communicates with overseas customers and banks to ensure payments are made; arranges the export of containers.
Performs similar duties as assigned.
Job Qualifications
Education: High School diploma or equivalent with some college education preferred.
Experience: Minimum of two (2) years experience in import/export industry preferred and at least six (6) months experience as Import Assistant with COA, Inc.
Knowledge: Requires a basic understanding of customer service, computer application software, PC data processing and telephone skills; familiarity with import procedure, ability to get along with others, take constructive criticism and be a team player.
Language Skills: Ability to communicate clearly and concisely in oral, written, and presentation communications. Bilingual in Mandarin Chinese is required.
Math Skills: Overall skills and knowledge of mathematical and accounting principles and practices.
Other Skills: Time management skills to effectively schedule and meet company demands.
Other Abilities: Ability to handle multiple priorities.
